Data Entry Notes

Most fields are optional and should be left blank if not applicable or if the information is not available. Empty fields will generally not be shown when displaying an order. Recovery order forms in particular require only the client and instruction fields at a minimum.

Dates

Dates can be entered in a very flexible format. Below are some examples of valid entries and their meanings. If you enter a date that cannot be understood the system will notify you and prompt you to change it and resubmit.

Names of dates can be abbreviated and the case does not matter. The year can be left off or given as 2 or 4 digits.

'Jan 1', 'january 1', 'January 1st', '1/1', '1 1' January 1st of the current year Months can be abbreviated and the year is optional (the year always defaults to the current year).
'Jun 17 1999', '6/17/99', '6/17/1999', '6 17 99', '6 17 1999' June 17th, 1999 Numerical months must be entered before the day. Years can be given as 2 or 4 digits.
'5 Aug', '5th August', '5-Aug', 'Aug-5', 'Aug/5', 'Aug 5' August 5th of the current year Month names can be entered before or after the day.
'today', 'yesterday', 'tomorrow' The date of today, yesterday or tomorrow, respectively Dates can be given relative to the current day.
'Thursday', 'Thu' The date of Thursday of current week Dates can be given as the day of the week. Note that this will be in the future if the current date is before the given day. Sunday is considered the last day of the week.
'last Wednesday', 'last wed' The date of the previous Wednesday 'Last' ensures the date will always be a date in the past.

Times

Times can be entered in a very flexible format. Below are some examples of valid values and their meanings. If you enter a time that cannot be understood the system will notify you and prompt you to change it and resubmit.

Day names can optionally be abbreviated (to 3 characters) and their case does not matter. AM and PM in a time can optionally have dots and the case does not matter. To avoid ambiguity, hours and minutes and/or seconds must be separated with ':' and minutes or seconds must be written as 2 digits each.

'noon', 'midnight' 12:00 PM or 12:00 AM, respectively Midnight is the beginning of the current day
'00:30', '12:30' 12:30 AM or 12:30 PM, respectively 00:30 is 30 minutes after midnight, 12:30 is 30 minutes after noon.

Phone Numbers

Phone numbers will be displayed as '310-555-1212' if entered as 10 digits ('3105551212') or with spaces ('310 555 1212'). Similarly, phone numbers will be displayed as '555-1212' if entered as 7 digits ('5551212') or with spaces ('555 1212').

Any other form of a phone number will be displayed exactly as entered. For example, you may add things like extensions ('555-1212 ext 43') or comments ('555-1212, last digit might be a 3').

SSN

Social security numbers will be displayed as '123-45-6789' if entered as 9 digits ('123456789') or 9 digits with spaces ('123 45 6789').

Any other form of a SSN will be displayed exactly as entered. For example, you may give partial numbers ('123-45-').

Comment / Notes Areas

The text in a comment or note area will automatically word-wrap. You may enter a carriage-return to force a new line to start. Use a blank line (2 carriage-returns) to separate paragraphs.

You can cause words to display as bold by surrounding them with '*', e.g. '*urgent*' displays as urgent. The asterisks must be adjacent to the word. To boldface multiple words surround each word with '*' e.g. '*good* *job*' for good job.

Similarly, you can italicize words by surrounding them with '_', e.g. '_today_' displays as today.

Tips for Searching

The search box in the upper righthand corner of every page will search the contents of recovery orders. On pages with no other data entry fields it will be selected as soon as the page loads and you can start typing search terms immediately. Enter return to begin the search. You can also type Alt-s to jump to the search box if it isn't selected.

All searching is case insensitive ('fred' will match 'Fred' and vice-versa). The search term is matched as a substring of each field ('123' matches fields with '123' anywhere in them), except for vehicle years and order numbers which must be exact matches. Spaces will be ignored at the beginning or end of the term, but not in the middle. This means 'John Smith' will probably not match anything because it will look for a last name (or first name) of 'John Smith'. Instead, just search for 'John' or 'Smith'.

All matching orders are listed on the results page, with the most recently updated orders at the top of the list. If there is exactly one matching order then that order will be shown directly instead of a list.

The following order fields are searched:

  • Order number (exact match only)
  • Account number
  • All Borrowers
    • First name
    • Last name
    • Social Security Number
  • Vehicle
    • VIN
    • Plate
    • Make
    • Model
    • Year (exact match only)

As a shortcut, you can also search for order numbers as '#number'. The '#' character will cause the search to look only for that specific order number and, if it matches, take you directly to the order.

Remember that searches will look in all fields - so a search for '150' will find all F150 trucks, as well as order number 150 and orders with a VIN, license plate, SSN, etc with 150 in them.

Notifications

Notifications (via email or text messaging) are controlled by 2 factors: the order and the recipients. Each order specifies what events should send notifications:

  • When Order Status Changes (e.g. from 'New' to 'Working')
  • When A Note is Added (this includes Field Reports)
  • When Vehicle is Recovered (i.e. order status changes to 'Recovered')

Additionally, each person may chose to receive notifications via email, text messaging, both methods or neither. Email notifications are sent to a person only if they have requested them and supplied an email address. Similarly, text messages are sent only if requested and a phone of type 'Cell' with a known service provider is configured.

Notifications are sent to the "relevant people": the recovery company's owner, any assigned agents and any assigned contacts. Backup agents and backup contacts are copied (CC'd) instead of being directly sent. Note that a notification for an event is sent only if the order is configured to do so and only to those people who have requested notifications.

By default all users are configured to receive email notifications only. To change your choices, click on the 'My Settings' menu item.
